Participant Photos

Submitted race photos are stored on our server and appear publicly only after review. They are available for free viewing and download. Your chosen first name and last initial, or anonymous credit, appears with approved photos. Your full submitted name and email are available only to the website administrator for submission-related contact. We remove embedded location and other EXIF metadata when processing images.

Selfie Search

Faces in approved race photos are converted into numeric signatures, which are provided to visitors’ browsers for matching. Your search selfie and its temporary signature stay on your device and are never uploaded or saved by New England Timing. A match is a suggestion rather than confirmation of identity.

Retention And Removal

Private submission contact details are cleared through periodic cleanup after 90 days; your selected public credit remains. Rejected photos are deleted through periodic cleanup after 30 days. Use Report This Photo to request removal, or email newenglandtiming@gmail.com. Reports identifying yourself in a photo, and reports of inappropriate content, hide the photo from the portal immediately pending review. Previously downloaded copies cannot be recalled. Older direct links to official photographs may require separate removal from storage.

Submission Limits

We retain a salted hash of the submitting IP address instead of the raw address to limit abusive submissions and reports. The web host may maintain its own access logs. Submission data is not sent to a new recognition service.

Photo Alerts

Photo alerts require email confirmation and use published bib tags, including approved participant uploads. Your email address and selected race/bib are stored privately for this service. Selfies and face signatures are not stored for alerts. Emails are batched hourly; the administrator may change the delivery schedule. Every alert includes an unsubscribe link. Subscriptions expire after 90 days; unsubscribing removes your address immediately. Unconfirmed requests expire after two days. Salted hashes limit abusive confirmation requests.

Gallery Statistics

We record daily gallery visits, photo opens, tag changes, download requests and completed share actions or copied links. A first-party cookie distinguishes anonymous browsers. Daily records do not include names, email addresses, IP addresses, bib searches, headshots or face signatures. Anonymous visitor and action keys are removed after 90 days; aggregate daily totals remain. Do Not Track and Global Privacy Control preferences are respected.
